 Rules and regulations

  • Exhibitors may include manufacturers, sellers, representatives of motor, automotive, motorsport, and similar industries, as well as organizations and publishers in the field. Only products approved by the exhibition organizer may be displayed. The organizer reserves the right to remove any exhibit items that may be dangerous or disruptive to other exhibitors or the public. Exhibited products cannot be removed from the booth during the exhibition without the organizer's permission.

  • A binding reservation for exhibition space is made using a form confirmed by the organizer, to be submitted by the date indicated thereon. A reservation approved in writing by the organizer is a binding contract for both parties, concerning the exhibition space and rental agreement. If the total number of reservations fills the available exhibition spaces before the end of the registration period, spaces will be allocated based on the order of registration. Without written permission from the organizer, an exhibitor is not allowed to sublet or transfer their booth or any part of it.

    Exhibitors have the right to cancel their participation in writing within 14 days of signing the contract, but no later than 30 days before the event starts. Only with the organizer's consent, a name other than that of the exhibitor, their principal, or representative may be mentioned in the exhibition booth, for which the lowest space rental will be charged. The organizer reserves the right to limit the size of the exhibition booth or reject the registration without stating a reason.

  • The organizer determines the final location of the space, taking into account industry grouping, efficient use of the hall, and, where possible, the exhibitor's preferences. The organizer will send the exhibitor a drawing indicating the location and dimensions of the space.

  • The right to use the booth reverts to the organizer

    a) if the booth rental is not paid by the due date

    b) if the exhibitor does not take possession of the exhibition booth by 12:00 PM on the day before the opening day, unless otherwise agreed.

    If the contract is terminated in this way or due to any other reason attributable to the exhibitor, the organizer will charge the already due payments, but at least the minimum booth rental, unless the exhibitor has exercised their right to cancel as mentioned in section 2.

  • The exhibitor, in whose name the spaceis reserved, is ultimately responsible for any costs incurred to the organizers by their space. The exhibitor is responsible for the costs arising from their own space. The exhibitor has the right to intervene in the construction and decoration of the space. The height of the walls between booths must be at least 240 cm. The following actions always require the organizer's prior approval:

    – Wall and decoration solutions exceeding 250 cm in height.

    – Placement of exhibition items weighing over 1000 kg.

    If the exhibitor erects walls or other structures whose exterior surfaces are visible to neighboring booths or aisles, they must ensure these surfaces are neatly finished (e.g., painted). If a floor is built in the space that exceeds 12 cm in height from the hall floor, the open sides of the space must be stepped and fitted with a railing or other protection.

    Any structure, decoration, or exhibit item exceeding the height of the partition walls, which has been permitted, must be kept at least 2 meters away from the boundary of the neighboring space.

    The exhibition sections can be dimmed in terms of general lighting, so the exhibitor must take the lighting of his stand into account himself. The Exhibition Manager gives additional instructions if necessary.

  • The organizer is responsible for the general lighting of the area. The distribution voltage in Messukeskus is 380 / 220 V, 50 Hz.

    After registering as an exhibitor, your service channel for dealing with the department's practical matters is eMessukeskus, the business service of Helsinki Messukeskus. Please note that you must log in to the service yourself in order to update your information and place orders related to your participation.

  • General laws and regulations in force, as well as the Exhibition Center's fire safety guidelines, must be adhered to regarding fire safety. Pre-approval from fire authorities is required for the demonstration of devices that may endanger fire safety. Smoking is strictly prohibited in the exhibition halls. Battery cables of vehicles must be disconnected. See the separate information form Exhibition Construction and Safety at the Helsinki Exhibition Center (Separate attachment).

  • The organizer is responsible for fire watch and general order in the exhibition area, but not for any possible damage or loss of goods, structures, etc.

  • The liability insurance taken out by the organizer covers damages possibly caused to a third party by actions of its own staff or from devices and structures. Damages caused by the exhibitor themselves are not covered by this liability insurance. The exhibitor is responsible for arranging their own theft, liability, or other insurance as they deem necessary.

  • Permission from the organizer is required for the use of audiovisual equipment, musical instruments, and the organization of demonstrations. The exhibitor is responsible for the preliminary review of films and video programs before their presentation, as well as for the payment of royalties required by copyright law for the music they play. Demonstrations must not disturb the neighborhood. The volume of sound at the booth is monitored, and presentations causing disturbances will be stopped. The exhibitor must ensure that televisions at their booth have the appropriate TV license.

  • The exhibitor must appoint a responsible manager for their booth at the time of registration. All materials related to the exhibition will be sent to the booth manager, who must be reachable during the exhibition or must appoint their substitute to the organizer.

  • The exhibition organizer handles general cleaning. The exhibitor is responsible for providing necessary waste bins for their booth. Trash and debris generated during the construction and dismantling phases must be removed from the exhibition area by the exhibitor. The exhibitor is responsible for sorting and disposing of waste generated by their activities at the location designated by the event organizer.

    If cleaning is not completed by the deadline, the organizer has the right to charge for cleaning costs.

  • The organizer reserves the right to cancel or postpone the exhibition to a different date if it cannot be conducted at the announced time due to insurmountable obstacles (Force Majeure). Products or publications deemed illegal or indecent must not be displayed in the exhibition. Helsinki is mutually agreed upon as the place of performance and jurisdiction. By signing the registration form, the exhibitor agrees to abide by these participation conditions and any additional instructions provided as a supplement.

The above conditions and rules complement the general participation conditions of the Finnish Fair Corporation.

The registration fee is €200 + VAT.

An invoice surcharge of €5 + VAT per invoice is applied. The invoice surcharge is charged if the company's contact information is changed or if the booth rental invoice is split among several companies.

All prices are subject to the applicable value-added tax, and participation will be invoiced before the exhibition

About organizer

The Finnish Hot Rod Association is a non-profit, public benefit club owned by its members. FHRA engages in both club and business activities. Operating since 1972, FHRA aims to help preserve vehicle culture as vibrant and diverse.

FHRA seeks to cooperate with all hobby vehicle associations and clubs, developing and improving its members' hobby opportunities nationwide. For years, FHRA has also been involved in youth work, providing stimuli for vehicle hobbies and culture. The 'Young Builder' theme rewards young enthusiasts at the American Car Show annually.

The Finnish Hot Rod Association is committed, together with the exhibitors, to creating three rewarding and experiential exhibition days for the whole family for every Easter weekend.
